Catering Policy

📄 Fontana Unified School District Food Services Catering Policy

✅ Order Approval and Submission

Approval Process:
- All purchases must be approved by your department budget technician before submission.
- Orders will only be accepted from the Principal, Administrative Secretary, Department Head, or Budget Technician.
- Program funds will not be approved for luncheons, potlucks, or meals for volunteers/parents without prior board approval.

Order Submission:
- No phone or email orders will be accepted.
- All orders must be placed through the online form below.

Blackout Dates:
- Due to high demand, certain dates may be unavailable. You will be notified by email if your date is not available.

📅 Scheduling & Booking

- For events with 25+ guests: Book at least 10 business days in advance.
- For events with under 25 guests: Book at least 5 business days in advance.
- Late Orders: Less than 3 business days in advance will incur a $35 late fee.
- Final guest count is required 3 working days before the event. Billing will reflect this count or actual attendance, whichever is greater.

❌ Cancellations

- Please notify us as early as possible to avoid charges. Charges may apply if products have already been purchased.
- Each cancellation will be reviewed individually.

⭐ Special Needs & Early Deliveries

- A $50 fee applies for orders scheduled before 7:00 a.m. or after 2:30 p.m.
- Tables, tablecloths, centerpieces, and floral arrangements are the responsibility of the customer. Tablecloths are available for rent.
- Dietary accommodations are available — please contact us in advance.

🚚 Delivery or Pick-Up

- Delivery Fee: $35
- Starting 2024-2025: All food and items will be delivered to the school's main cafeteria.
- Pickup Option: Catering orders may be picked up at the Catering Kitchen at Summit High School (H Building) between 7:30 a.m. and 2:30 p.m. at no charge.
- All catering equipment must be returned within 2 business days to Summit High School.

💳 Invoicing & Payment

- Invoices are due within 10 days of receipt.
- Prompt return of payment and documentation is essential for processing.

Payment Methods:
- Check or Money Order: Submit on or before event day with a copy of the invoice. Deliver in an envelope labeled:
Food Services Catering – Attn: Lourdes Rico
- Cash payments are not accepted.

Program Funds:
If using program funds, please provide the following:
- Event agenda
- Attendee sign-in sheet
- Approved signature on invoice

🎁 Donation Policy

- Food Services is prohibited from making donations for any events, per district policy.

By placing an order, you acknowledge that you have read and agreed to the Fontana Unified School District Food Services Catering Policy. Adhering to these procedures ensures efficient and effective service.

Catering Information

Advance Notice: Orders must be placed at least seven business days in advance. Larger events may require additional notice.

Delivery: Delivery is available for approved district events and school sites.
